Pathology Tracker Clinic Desktop Application

Clinic users can access the Path Tracker desktop application to create and send outgoing pathology orders.
Getting started

Use the menu on the left hand side of the screen to go to the Tracker module. There are two options in the Tracker module: Prepare Orders and Pickup Orders.  Click the icon to open a module.    

Prepare Orders module 

Choose the lab you wish to prepare orders for.  Click the Scan button and move your specimen bottles across the RFID scanner to be read.  The specimen bottles can be in individual bags placed in a larger bag or basket and scanned all at once, but some movement/shaking of the container will need to be done so that all specimen bottles are read and picked up. 

As the application is scanning, you should see red and/or green icons pop up in the background.  Use the Stop Scan button to finish the scan. 

Orders in an Invalid state are listed on the left hand side of the screen with a red icon.  Orders may be invalid for several reasons including scanning for the wrong Laboratory, missing specimens, deactivated orders, and incorrect practice location.  Click on the red icon to see a pop up with more information about the error items.    Orders in a Valid state are listed on the right hand side of the screen with a green icon.  Click on the green icon to see a pop up with more information about the items.  

If you have a mixture of red/invalid and green/valid items, review the red items and correct the issues.  Then rescan until only green/valid items appear on the screen.  Once you have all green/valid items, click the Accept button to continue.   You will be prompted to Print or Skip the packing list.  We suggest printing the packing list and including it in the bag of specimens to be given to the lab courier.  
 


After printing is complete, you will return to the main Tracker module menu.   

Pickup Orders Module 

When the lab courier arrives to Pick Up orders, choose the appropriate lab icon. Click the Search button to pull up all ready/prepared orders for the courier.  The courier can review the orders that appear on the screen and cross check the packaged orders to the printed packing list report that was prepared during the Prepare Orders process.  Once the courier is confident all of the orders are correct for pickup, the courier can type and sign their name and hit the Accept button.   

This completes the pick-up process and sends the electronic data to the laboratory.  The courier’s name, signature and pick up date/time is also added to the Packing List.  (This can be viewed/reprinted in the Path Tracker Web Portal module, see instructions below.) 
Path Tracker Web Portal 
To log in to the Path Tracker Web Portal, go to https://portal.complete.md.  Use the same login information that is used for the Path Tracker desktop application.   
On the left hand menu, you will see options for Pathology and My Profile.  To change/update your password, use the My Profile menu.   Use the Pathology menu option to view the electronic Log Book and Reports related to pathology.   
Path Tracker Web Portal – Log Book 
All of your outgoing lab orders are listed on the Log Book page.  Colored circles (or “lollipops”) are lit up as each order moves through the various stages in the application.   
Lollipop key:
Red/SC = Specimen Created 
Orange/LP = Label Printed
Light Orange/RC = Ready for Courier…this lollipop is lit up after a Package is created in the Prepare Package module 
Yellow/CP = Courier Pickup….this lollipop is lit up after the Courier picks up a package in the Pickup Orders module 
Light Green/SR = Specimen Received…this lollipop is lit up after the Laboratory scans the courier’s package in at their location, indicating the specimens have been received by the laboratory 
Green/RR = Results Received…this lollipop is lit up once the results are received electronically from the laboratory
