Courier Training Guide

Introduction:

Welcome to our guide for using our systems as a courier. Our systems are designed to make picking up and dropping off specimens as efficient and smooth as possible. This guide will walk through the steps involved in adding a courier, logging in, picking up and signing out specimens, dealing with exceptions, and dropping off specimens.

Adding a courier to a practice

This section includes steps to add a courier to the practice's account and any necessary information or details that the practice should provide.

To add a courier to the practice, follow these steps:

  1. After logging into the Portal (https://portal.pathologytracker.com), as a Laboratory Admin, go to the Setup section in our systems.
  2. Select the "Add Team Members" area.
  3. Select to add a "New Member."
  4. Fill in the required information, such as First Name, Last Name, Email Address, and credentials.
  5. Save the information by selecting "Save" and proceed to Step 6.
  6. After creating the new user, search for the user on the Team Members page to add the Courier role and proceed to Step 7.
  7. After adding the Courier role, the Courier (or Team Member creating the Courier) will need to log into the Portal (https://portal.pathologytracker.com) to accept the Terms of Use.
  8. Once Steps 1-7 have been completed, a new Courier has been successfully added.

Logging in as a courier with a kiosk

Explanation of the two ways a courier can log into our systems: using a kiosk or using the courier app when there is a dropbox. This section describes the differences between the two methods and provides a walk-through of the login process for each method.

To log in as a courier on a kiosk, follow these steps:

  1. After logging into the kiosk as a Courier, select "Pickup Order(s)."
  2. Once "Pickup Order(s)" has been selected, select the corresponding lab to verify.

Picking up Specimens

This section outlines the steps to pick up and sign out specimens as a courier with a kiosk or dropbox, including selecting the packages and signing off on them.

To pick up and sign out specimens as a courier with a kiosk, follow these steps:

  1. Sign into the practice's kiosk, as described in this article's "Logging in as a courier with a kiosk" section.
  2. Select the "Search" button.
  3. After verifying all packages are present on the left-hand side, the Courier should type their name above the signature panel and sign it.
  4. Select the "Accept" button.

To pick up and sign out specimens as a courier with a dropbox, follow these steps:

Dropping off Specimens 

This section covers the steps involved in dropping off and receiving lab orders at the laboratory's kiosk, including scanning and verifying lab orders and dealing with exceptions.

To drop off or receive specimens, follow these steps:

  1. Sign into the laboratory's kiosk, as indicated in this article's "Logging in as a courier with a kiosk" section.
  2. Select the "Receive Order(s)" button
  3. Select the "Scan" button.
  4. Wait until all of the lab orders within the package finish populating on the right-hand side to proceed to step 5.
  5. Once all packages have been found, select the "Stop" button.
  6. If exceptions exist, the Courier may select the individual lab orders to determine why an exception is present.
  7. Select "Accept" to drop off Complete lab orders.

Dealing with exceptions while dropping off specimens and receiving specimens

  1. Ignore: If the exception is minor and does not affect the quality of the specimens, this can be ignored.
  2. Flag as an issue: If the exception is significant, flag it as an issue in our systems.
  3. Notification to the practice: The practice will be notified of the issue, and they can take the necessary action.
